The terms that govern your use of Maxillo — written to be clear and fair for UK dental practices.

1. Agreement
These Terms & Conditions ("Terms") form a binding agreement between Maxillo Ltd("Maxillo", "we") and the practice or person using our website and application ("you"). By accessing or using Maxillo you agree to these Terms. If you are agreeing on behalf of a practice, you confirm you have authority to bind it.
2. Accounts and your responsibilities
Access to Maxillo is provided to authorised users only — there is no public self-service sign-up. You are responsible for:
- keeping your sign-in credentials confidential and enabling available security features;
- all activity that occurs under your account;
- ensuring the people you invite are authorised and use the service appropriately; and
- the accuracy and lawfulness of the data you and your team enter.
Notify us promptly of any unauthorised access or suspected security incident.
3. Acceptable use
You agree not to:
- use the service unlawfully, or in breach of clinical, professional or data-protection obligations;
- upload malicious code or attempt to disrupt, probe or gain unauthorised access to the service;
- reverse engineer, copy or resell the service except as permitted by law;
- use the service to send unlawful, infringing or harmful content; or
- exceed or circumvent usage limits, or use automated means to extract data beyond normal use.
4. Subscription and billing
Maxillo is provided on a subscription basis, priced per surgery with monthly or annual billing as selected.
- Fees are billed in advance and are stated exclusive of VAT unless noted.
- Subscriptions renew automatically for the same term until cancelled.
- You may cancel renewal at any time; access continues to the end of the paid term.
- Except where required by law, fees already paid are non-refundable.
- We may change pricing on reasonable notice, effective at your next renewal.
5. Intellectual property
Maxillo, including its software, design, branding and content, is owned by us or our licensors and protected by intellectual-property law. We grant you a limited, non-exclusive, non-transferable right to use the service during your subscription.
You retain all rights in the data you enter ("Your Data"), including patient records. You grant us the limited rights needed to host and process Your Data to provide the service.
6. AI-generated content
Maxillo uses automated and AI-assisted features to draft notes, letters, summaries and suggestions. These outputs are tools to support your team, not a substitute for professional judgement.
- AI-generated content may contain errors or omissions and must be reviewed before use.
- A qualified clinician is responsible for verifying and signing off clinical outputs — AI assists; clinicians decide.
- Maxillo does not provide medical, clinical, legal or financial advice, and AI outputs do not constitute such advice.
- You are responsible for the use you make of any AI-generated content.
7. Service availability
We work to keep Maxillo available and reliable, and publish status at our System statuspage. The service is nonetheless provided on an "as available" basis: we may carry out maintenance (we aim to schedule it outside clinical hours and give notice where practical), and availability may be affected by factors outside our reasonable control. We do not guarantee uninterrupted or error-free operation unless a separate service-level agreement applies.
8. Data protection
Our handling of personal data is described in our Privacy Policy. Where we process patient data on your behalf we do so as your processor under a Data Processing Agreement, which forms part of these Terms for practices.
9. Liability
Nothing in these Terms limits liability that cannot be limited by law (including for death or personal injury caused by negligence, or for fraud). Subject to that:
- we are not liable for indirect or consequential loss, loss of profits, goodwill or data;
- our total liability in any 12-month period is limited to the fees you paid for the service in that period; and
- you remain responsible for clinical decisions and for maintaining your own records and backups as required by your professional obligations.
10. Termination
Either party may end the agreement in line with the subscription term or for material breach that is not remedied. On termination your right to use the service ends, and we will return or delete Your Data in accordance with the Privacy Policy and DPA.
11. Governing law
These Terms and any dispute arising from them are governed by the laws of England & Wales, and the courts of England & Wales have exclusive jurisdiction.
12. Changes and contact
We may update these Terms from time to time; the "last updated" date above reflects the current version, and material changes will be notified to account holders. Questions can be sent to contact@maxillo.co.uk. Maxillo Ltd is registered in England & Wales.
