Getting Started with Maxillo

How to sign in for the first time, find your workspace and learn where the main screens live.

Maxillo is your practice's record: the diary, patient records, clinical notes, treatments and payments all live in one place. This article covers your first sign-in and the layout you will see every day.

Before you start

  • Your practice must already exist in Maxillo. Practices are created by the Maxillo team, who invite the owner first.
  • You need an invitation from your practice owner or manager. It arrives by email.
  • If nobody at your practice has an account yet, ask the Maxillo team.

Steps

  1. Open the invitation email and follow the link. It creates your account and adds you to your practice. If the email has not arrived, check your spam folder, or ask whoever invited you to send you the link from Settings → Team & access using Copy link.
  2. On the Create your account screen, enter your details and continue. You will see Check your email while Maxillo confirms your address.
  3. From then on, go to maxillo.co.uk and choose Log in. Sign in on the Welcome back screen with your work email address.
  4. Maxillo opens the workspace that fits your role. There are three: Reception (diary, arrivals, patients, enquiries and payments), Clinical (today's patients, notes, charting, plans and imaging) and Practice (overview, staff, revenue, configuration and reporting).
  5. Use the workspace switcher at the top of the side menu to move between the workspaces your role allows. A receptionist sees Reception only; an owner can use all three.
  6. Look at the side menu. In every workspace the first item is your home page: Today in Reception and Clinical, Overview in Practice. Diary and Patients are always near the top.
  7. Anything your role can reach but does not use every day sits under More at the bottom of the menu.
  8. Open Settings from the side menu to check your own details.

What happens next

You can start work straight away. Reception staff usually begin with Diary and Patients. Clinicians begin with Today, which lists their patients for the day. Owners and managers land on Overview, where a Getting started card lists what the practice still needs to set up.

Your workspace choice is remembered for next time. Switching workspaces never changes what you are allowed to do; it only changes which screens are put in front of you.

Common problems

  • The invitation link says it has expired — invitations run out after a set time. Ask your owner or manager to withdraw the old one under Settings → Team & access and create a new one.
  • I cannot see a screen a colleague can see — screens are shown by role. See Roles and permissions, or ask your practice manager to check your role.
  • I only see one workspace — that is normal for receptionists, nurses and limited users. The switcher only lists the workspaces your role can use.
