Booking Appointments

How to book an appointment from the diary, the patient record or the Today page, and what the diary shading means.

There are two ways to book: the full appointment form in the diary, and a quick Book appointment window from the patient record or the Today page. Use the diary when you need to choose a clinician, room or appointment type.

Before you start

  • The patient must already exist, or you can create them from inside the diary form.
  • Appointment types, with their colours and default lengths, are set up by a manager under Settings. If none are set up yet, the form tells you and the booking is saved without a type.
  • The diary shading shows each clinician's working hours as Off, Blocked or Closed bands. This is guidance only. Maxillo does not stop you booking outside those hours or on top of another appointment, so check the column before you save.

Steps

Book from the diary

  1. Open Diary from the navigation. The page is headed Schedule.
  2. Use Today, the arrows or the date box to reach the right day. Switch between Day, Week and Month at the top right.
  3. Click an empty slot in the clinician's column at the time you want, or press New appointment. The New appointment form opens on the right.
  4. Under Patient, search using Search patients by name, DOB, phone or email… and pick the patient. For a new caller, press Create new patient, fill in their names and contact details, and press Create & select.
  5. Check Date and Start time.
  6. Choose an Appointment type. The Duration and, where the practice has set one, the Cost estimate (£) fill in for you. You can change both.
  7. Choose the Clinician and type the Room / chair if your practice uses rooms.
  8. Tick Lab work required or Short-notice list if they apply. Add anything the clinician should know in Notes.
  9. Leave Status as Scheduled unless the patient has already confirmed. Press Create appointment.

Quick book from a patient record or the Today page

  1. Open the patient's record and press Book appointment in the header, or press Book appointment on the Today page and pick the patient from the list. On the Patients list, each row also has a Book link.
  2. Set Date, Time and Duration, add a Reason if useful, and press Book.
  3. The quick form does not set a clinician or appointment type. Open the appointment in the diary afterwards and press Edit to add them.

What happens next

The appointment appears in the diary in the colour of its type, with the status Scheduled. It also shows on the patient's Appointments tab under Upcoming and, on the day, in Today's diary on the Today page.

Common problems

  • The form says no appointment types are set up — ask a manager to add them under Settings. You can still book; the appointment simply has no type or colour.
  • I cannot see the clinician's column — check the All clinicians filter at the top of the diary, and that the clinician has been added with Add clinician.
  • Two appointments overlap — Maxillo lets you double-book. Right-click one of them and use Move to clipboard, then click a free slot to place it.
