A recall is a reminder that a patient is due back for an examination, a hygiene visit or something you define yourself. The Recalls page is your worklist: who is overdue, who is due soon, and who has already booked.
Before you start
- Recalls are created per patient. Once a recall exists, the next one is created automatically when the recall appointment is completed.
- Recall invitations are only sent if a manager has switched them on under Recall settings at the bottom of the Recalls page. If they are off, a yellow notice tells you so. You can still track and book recalls by hand.
- Only patients who have consented to recall messages are contacted.
Steps
Create a recall
- Open Recalls from the navigation and press New recall.
- Press Choose a patient… and search for the patient. Picking them closes the search.
- Choose the Recall type: Examination, Hygiene or Custom. For Custom, type a name such as Implant review.
- Set the Due date and how often it should repeat under Repeats every (months).
- Press Create recall. The recall appears under Due or Overdue depending on the date.
Work the lists
- Overdue lists recalls whose due date has passed and who have not booked. Start here.
- Due lists recalls coming up. Booked — awaiting visit lists patients who already have an appointment linked to the recall.
- Click a patient's name on any row to open their record and check contact details or notes before you call.
Book a patient from a recall
- Press Book on the patient's row. The diary opens.
- Press New appointment or click a slot, search for the same patient under Patient, choose the matching Appointment type and press Create appointment. The diary does not carry the patient across for you, so pick them again.
- Back on the Recalls page, the recall moves to Booked — awaiting visit and any pending invitation for it is withdrawn.
Cancel a recall
- If a patient has left the practice or no longer needs the recall, press the small cross at the end of their row. It is labelled Cancel recall.
Check the settings (managers)
- Under Recall settings, tick Send recall invitations automatically to turn messaging on.
- Set Invite (days before due), Follow-up after (days), Follow-ups (max) and Default interval (months), then press Save settings.
What happens next
With messaging on, an invitation is queued ahead of the due date and follow-ups after it, through the same channel as appointment reminders. Messages stop the moment the patient books. When the linked appointment is marked Complete, the recall closes and the next one is created at the chosen interval, so the list refreshes itself.
The Recalls due count on the Today page shows recalls due in the next 30 days and turns amber when any are overdue.
Common problems
- Nobody is receiving recall messages — check the yellow notice at the top of the page. If messaging is off, ask a manager to switch it on under Recall settings.
- The recall did not move to Booked — the appointment must be for the same patient and of a matching type. Check the Appointment type on the booking.
