Every patient in Maxillo has one record. The header shows who they are and what you need to know at a glance, and a row of tabs holds everything else. This article explains what is on the record and where to find it.
Before you start
- Open Patients from the main navigation and use Search by name, email or phone… to find the person.
- What you can see depends on your role. Some tabs, such as Invoices & payments and Audit log, are only shown when your role allows them.
Steps
- Open the patient. The header shows their name, age, date of birth, NHS number if recorded, phone and email.
- Read the badges under the header. These show the patient type, any referral status, and every medical alert in red. Alerts are set on the Medical history tab under Alerts & allergies and appear across the whole record.
- Use the header buttons for quick actions: Edit changes the patient's details, New note jumps to the clinical notes, Refer starts a referral and Book appointment opens the diary. Patient notes holds short sticky notes for the team.
- Choose a tab. The tabs are Overview, Appointments, Odontogram, Advanced Chart, Perio chart, Treatment plan, Clinical notes, Referrals, Documents, Images / X-rays, Invoices & payments, Medical history, Communications, Aesthetics (Aura) and Audit log.
- Start on Overview. It summarises the Next appointment, Outstanding (invoiced) balance, Planned treatment and Treatment progress, with panels for Recent notes, Medical alerts, Referrals, Communications and Imaging.
- For charting, use Odontogram (the classic Maxillo chart) or Advanced Chart (the more detailed view). Both are on every record. Use one chart per session and save before switching between them.
- For periodontal measurements use Perio chart. For photographs and radiographs use Images / X-rays.
- Write and sign notes on Clinical notes. Build and price treatment on Treatment plan.
- Use All patients at the top of the header to return to the list.
What happens next
The tab you are on is kept in the page address, so you can copy the address and a colleague will open the record on the same tab. Anything you record on one tab shows up wherever it is relevant: a tooth linked to a plan item appears on the odontogram, an alert appears in the header, and images linked to a tooth appear in that tooth's panel.
Signed clinical notes can also produce suggestions. When a note mentions charting, measurements, plan items, medical history or appointments, a Suggestions from notes panel appears on the relevant tab. Nothing is recorded until someone chooses Approve.
Common problems
- A tab is missing — your role does not include it. Ask an owner or practice manager to check your access under Staff & access.
- A medical alert is not showing in the header — open Medical history and add it under Alerts & allergies. Items in the Medical conditions or Allergies lists are not alerts on their own.
- I cannot find the patient — try a different spelling, or search by phone or email instead of name.
