A consultation is where an aesthetic journey starts in Aura. It records what the patient wants, what you found and what you discussed, plus a screening questionnaire, and closes into an ordinary clinical note.
Before you start
- The patient record must be open on the Aesthetics (Aura) tab.
- You need the consult capability for Aura. The Maxillo team grants this per person. Without it the Consultation button is greyed out.
- Medical alerts and allergies are shown at the top of the workspace under On this patient's record.
Steps
- Open the patient record and choose Aesthetics (Aura) from the side menu.
- In the Episodes panel on the left, click Consultation. Choose the Practitioner and click Open. The workspace opens on the Consult stage.
- Write up the consultation in the four boxes: Reason for consultation and goals, Patient reports, Clinical observations and Discussion. Each box saves when you leave it. The label at the top of the card shows Saved or Unsaved — saves when you leave a box.
- Scroll to Screening. Answer every question yes, no or unsure. When you answer yes or unsure, a detail box appears next to the question. Click Record screening. The button stays greyed until every question is answered.
- If you want baseline photographs, switch to the Capture stage. Set Stage to Baseline, choose a View, and click Add photographs.
- Check the Consent card. A consultation records the discussion only. It does not stand in for consent, which is signed on the treatment episode.
- When the write-up is complete and saved, click Close consultation and write to the record.
What happens next
- The consultation shows as completed in the Episodes list.
- Maxillo creates an unsigned clinical note containing the write-up, the screening answers and the medical alerts on record at the time. Open Clinical notes and sign it there to lock it as a permanent record.
- The screening set is kept on the record. On a later episode the Screening card shows Most recent set on record, with a Record a new set link if you need to ask again.
Common problems
- The Consultation button is greyed out — you do not have the consult capability. Ask the practice owner to request it from the Maxillo team.
- The close button is greyed out — hover over it. It says Write the consultation up first if every box is empty, or Save your changes first if you have unsaved text. Click out of the box and try again.
- Record screening is greyed out — the message Answer every question. means at least one question has no answer.
- The consultation was opened by mistake — click Cancel episode in the header, type a reason and click Cancel it.
