Recording an Aura Treatment

Record each administration with product, lot, quantity, area and points, then record the treatment as given and set a recall.

A treatment episode records exactly what was given: which product, from which lot, how much, where, and by whom. Once recorded as given it is frozen. Later changes are corrections with a reason.

Before you start

  • Products and their lots must be set up under Settings → Aura products with lot numbers and expiry dates.
  • You need the administer capability for Aura.
  • The consent forms for the service must be signed on this episode (see Consent in Aura).

Steps

  1. On the Aesthetics (Aura) tab, click Treatment in Episodes, choose the Practitioner and click Open. The workspace opens on the Treat stage.
  2. In Service and consent, choose the Service and sign the required forms.
  3. In Record an administration, choose the Treating practitioner and the Product.
  4. Choose the Lot / batch. Only active, in-date lots are listed. Tick Show expired, quarantined or recalled lots only if you must, and give the reason the form asks for.
  5. Enter the Quantity and Unit, and choose the Area. Add a Cost £ and a Note if you wish.
  6. Click the face to add Points. Enter a quantity at each point if you record it that way. If the plan has dashed planned points, click one to administer at it. You can also record the area only.
  7. Click Record administration. Repeat for each product and area. The Administrations card lists everything recorded, with a Total.
  8. Set Bring the patient back in to the number of weeks, then click Record treatment as given & set recall.

Correcting a completed treatment

  1. On the frozen episode, click Correct next to the administration.
  2. Change what was wrong, type the Reason for the correction, and click Record correction.
  3. The original stays visible marked superseded; the new entry is marked correction.

What happens next

  • The episode shows as completed and the message Recorded to the clinical notes. Sign it there to lock it as a permanent record. Open Clinical notes and sign the note.
  • The recall shows as Top-up review due with a date.
  • On the Map stage each point appears as a solid dot, with the region-only entries listed.
  • Photographs for this episode go on the Capture stage as Pre-treatment and Post-treatment.

Common problems

  • The record button is greyed out — the text under it says why, usually that required consent forms are not all signed or nothing has been recorded as given yet.
  • No products set up yet — add products and lots under Settings → Aura products.
  • A warning appears on an administration — for example This lot has since been recalled. The record is unchanged; the warning is for your attention.
  • Wrong lot chosen before completing — click the cross next to the administration to remove it and record it again.
