Not every treatment has one price before the patient is seen. Maxillo's catalogue lets each treatment carry one of four pricing modes, and the treatment plan shows each item exactly as the catalogue meant it. A clinician turns a starting price, a range or a quote into a figure by confirming it with the patient.
Before you start
- Pricing modes are set per treatment under Treatments in Settings. The choices are Fixed price, From (starting price), Price range and Price on consultation.
- Only clinical users see Confirm price on a plan. Managers set the catalogue; clinicians confirm the figure with the patient.
Steps
- Open the patient's Treatment plan tab and look at the price on each item.
- A Fixed price item shows a single figure, for example £350. Nothing more is needed.
- A From item shows a starting price, for example from £400. This is never the fee itself.
- A Price range item shows both ends, for example £250 to £400. It is never shown as one figure or an average.
- A Price on consultation item shows Quote required. In the catalogue list it reads Consultation first. No number exists until you set one.
- For items in steps 3 to 5, agree the final figure with the patient and press Confirm price on the row.
- Enter the amount in pounds and pence in the £ field and press Confirm, or press Cancel to leave it as it was.
What happens next
A confirmed item becomes a fixed figure on the plan. From then on it is included in the plan total, appears in the patient's charges on Invoices & payments, and can be invoiced.
Until an item is confirmed it is counted separately. The plan header shows the honest total, for example £1,250 · 2 to confirm, meaning £1,250 of confirmed prices plus two items still to confirm. Performance figures also count confirmed prices only.
The same four modes are used everywhere a price is shown, including what Concierge tells patients on the phone, so a patient never hears a range read as one number or a starting price presented as the fee.
Common problems
- A catalogue item shows "Price not set" — it is a fixed-price treatment with no amount entered. Ask a manager to enter the price under Treatments.
- "Not configured" appears next to a treatment — the numbers do not match the mode, for example a range with no maximum. A manager should correct it. Maxillo will not guess a price.
- The confirmation was refused — the figure must be a positive amount in pounds and pence and must be realistic. Check the number and try again.
- I confirmed the wrong figure — remove the item from the plan with the cross on its row, add it again from the catalogue and confirm the correct price.
